Does anyone have experience handling bookings for a business that offers both individual appointments and group sessions? I run a fitness studio and we do personal training by appointment plus group classes at set times. Right now I'm using two different systems and it's creating confusion for clients who do both. Some people only want personal training, some only do group classes, but a growing number want to do both and they're frustrated having to use separate booking methods. Is there a way to streamline this so everything runs through one platform? I'm worried about making changes because I don't want to disrupt the systems that are currently working, but I also know the current setup isn't sustainable as we grow.

Yes, you definitely need to consolidate into a single platform that can handle both appointment types. I had a similar situation with my therapy practice where I offer both individual sessions and group workshops. Keeping them separate was creating unnecessary complexity for everyone involved. What you want is a booking system that supports multiple service types with different durations and capacities. For individual appointments, you'd set it up so only one person can book each time slot. For group classes, you'd configure it to allow multiple bookings up to your maximum capacity. Most modern booking platforms can absolutely handle this, you just need to make sure you're choosing one that's designed for businesses with varied service offerings. The migration might feel daunting, but it's usually much simpler than people expect. You can typically export your existing client data and import it into the new system. The key is communicating clearly with your clients about the change and maybe running both systems in parallel for a week or two while everyone transitions. Trust me, once you're on a unified system, you'll wonder why you dealt with the complexity for so long.

I made this exact transition about a year ago and it was one of the best operational decisions I've made for my business. I run a wellness center where we offer massage therapy appointments, yoga classes, and workshop events all under one roof. Before consolidating, we had staff members bouncing between different systems trying to manage it all, and clients were getting confused about where to book what. We moved everything to a single platform and it's been incredibly smooth. Clients love having one place where they can see all our offerings and book whatever they want. You can set up individual appointments, recurring group classes with capacity limits, special events, and even workshops that happen once or twice. Everything shows up in one master calendar so we can see at a glance what's happening when, and clients have a single login where they can manage all their bookings.
